Timecard calculator (hours & minutes, with breaks)

Adding up a week of 8:45-to-5:15s minus lunches is exactly the arithmetic that goes wrong on paper timecards. Enter the times for each day and this calculator does the conversion to decimal hours, the weekly total, and the overtime split — instantly and without rounding errors.

Times accept 12-hour (5:30 PM) or 24-hour (17:30) format. A clock-out earlier than the clock-in is treated as an overnight shift. Overtime uses the US federal weekly-over-40 model.

How it works

1
Enter times per day

For each day worked, enter the clock-in and clock-out time (12-hour or 24-hour format both work) and any unpaid break in minutes.

2
Overnight shifts are handled

If the clock-out time is earlier than the clock-in time, the calculator assumes the shift crossed midnight and counts it correctly.

3
Read the totals

Each day shows its decimal hours; the summary shows total hours, regular hours (up to 40), and overtime hours for the week.

Payroll systems want decimal hours, but people think in clock times — the conversion (45 minutes = 0.75 hours, not 0.45) is the single most common manual timecard error. The second most common is the forgotten unpaid break, which silently inflates hours. This calculator handles both, and uses the US federal weekly-over-40 overtime model; states with daily overtime (like California) need the daily rules applied on top.

Frequently asked questions

How do I calculate hours worked from clock-in and clock-out times?

Subtract the clock-in time from the clock-out time, then subtract any unpaid break. Convert minutes to decimals by dividing by 60 — so 7 hours 45 minutes is 7.75 hours, not 7.45. This calculator does the whole chain for you per day.

How does the calculator handle overnight shifts?

If the clock-out is earlier than the clock-in (say 10:00 PM to 6:00 AM), it treats the shift as crossing midnight and calculates 8 hours. You don’t need to do anything special.

Are unpaid breaks subtracted from hours worked?

Yes — enter the break in minutes and it’s deducted from that day’s total. Under federal law, bona fide meal breaks (typically 30+ minutes, fully relieved of duty) can be unpaid; short rest breaks of 5–20 minutes must be paid, so don’t deduct those.
